As an RICS regulated firm we have committed to cooperating with the RICS in ensuring compliance with its standards.

Information we Collect: Our website uses 'cookies' which are small files saved to the user’s computer hard drive to enable users to navigate around and (where appropriate) track, save and store information about the user’s interaction and usage of our website. We use Third Party Google Analytics which will save a cookie to the user’s computer hard drive in order to track visitor usage, monitor user engagement and obtain anonymous data on patterns of the users who visit our website. How Will We Use the Information?

  • To facilitate and fulfil our obligations of the work/information/service/contract in which you have asked us to complete/provide.

Our Lawful Basis to Process:

The principal function of FLJ’s Agency transactions is to match company property requirements in the open market with suitable buildings. This means that we use personal information in order for us to effectively conduct our business and to be able to offer you the best opportunities that we are aware of and that we honestly believe will be of interest to you based on the information you have provided to us or is known to us. You may receive notifications of properties available if you have contacted us previously regarding similar properties, or you have a requirement, and we believe you may be interested in an opportunity we are aware of and can present to you.

We will process under Contractual interests when instructed to provide advice or buy/let/sell/value properties on behalf of the data subject. Even if we haven’t yet got a contract with the individual, but they have asked us to start or complete an action as a first step (e.g. provide a quote). This means we process data in the leading up to, during the performance of, or post a contract to which the data subject is a party to in any capacity to fulfil our obligations under the contract we have been appointed to complete.

The principal function of FLJ’s Construction transactions and where personal data is collected and processed is under Contractual Interests. Our use of that information is subject to instructions, the law and the duty of confidentiality we owe to our clients.

We may also use personal data to provide the opportunity to tender for a contract that we legitimately believe the subject may be interested in pursuing.

Please note that we will not process your data under Legitimate interests if we believe your freedoms and/or rights would be affected.

We may need to collect and process personal information to ensure we meet our legal obligations, for example tax and Anti-Money Laundering compliance.

If we are unable to rely on legitimate interests or any other ground outlined in the GDPR to process your personal data, we will obtain consent from you.

How Long Do We Keep your Personal Information?

We will keep your information for as long as we determine is reasonably necessary for legitimate business purposes, including insurance requirements and for the purpose for which it was obtained, and also to comply with any legal and regulatory obligations. We will then securely delete it.

Do We Share with Third Parties?

  • Any Third Party that you give us permission to share with.
  • Only with your consent, to third parties who may wish to contact you with services/products they offer that may be of interest to you.
  • To obtain credit checks.
  • To fulfil a subject access request.
  • When under legal duty or have a legal obligation to comply with any Companies, Government Authorities or Bodies that require it to detect and prevent any criminal activity in any capacity including fraud, money laundering and credit risk reduction.
  • Should we ever sell any or all of our business/assets we may disclose your personal data to the prospective buyer.
  • Should we ever buy another business/assets we may disclose your personal data to the prospective seller.

Fox Lloyd Jones takes our responsibility to secure the electronic personal and company data that we hold seriously and have strict internal IT policies, controls, system protection and infrastructure in place to protect against data subjects personal data from loss, accidental destruction, misuse or from being accessed, altered or disclosed by unauthorised persons, except by employees in the proper performance of their duties.

However we continue to do all we can to keep our website protection up to date and monitor all our systems.
